How to Use Scotty AI

Secure, intelligent survey insights — on your terms.

Scotty AI helps you explore your survey data using natural language. Ask a question. Get meaningful insight. Make better decisions — faster.

Before we begin, here’s what matters most.

Security First – Your Data Stays Protected

Scotty AI is built specifically for organisations that take data protection seriously.

Hosted securely within ViewPoint

Scotty AI operates entirely inside the ViewPoint Feedback Hub, hosted on Microsoft Azure within ViewPoint’s private Azure tenant.

  • Survey data never leaves our Azure environment

  • Data is never sent to public AI platforms

  • Customer data is never used to train third-party AI models

  • AI processing is isolated per customer

  • No cross-customer data access or learning

Enterprise-grade protection

  • Hosted on Microsoft Azure with built-in security controls

  • Protected by firewalls, identity and access management, and continuous monitoring

  • Access restricted to authorised ViewPoint personnel only

  • Data processed within a defined region (e.g. UK/EU)

  • Designed to align with GDPR and UK data protection requirements

You get powerful AI insights — without introducing new data-sharing risks.

How to Access Scotty AI

Log into the ViewPoint Feedback Hub.

  1. From your Dashboard, click the Scotty icon on the left-hand menu.

  2. Scotty will open in the central window.

Selecting Your Survey

At the top right of the Scotty window, you’ll see a survey dropdown menu.

  1. Select the survey you would like to analyse.

  2. Once selected, Scotty will use that survey’s data to answer your questions.

How to Ask a Question

  1. Type your question into the question box.

  2. Press enter.

  3. Scotty will analyse the survey data and return a response.

Remember: Scotty analyses the entire survey dataset (within the selected timeframe) to generate responses.

Example Questions You Can Ask

To help you get started, here are some examples:

  • What are the main themes in negative feedback this month?

  • What is driving our lowest satisfaction scores?

  • Are there recurring comments about waiting times?

  • What are the top positive comments from the last month?

  • Are there differences in satisfaction between locations?

  • What issues are mentioned most frequently?

  • What actions would you prioritise based on this feedback?

Copying Your Results

You can copy Scotty’s response by clicking the copy symbol at the top of the chat response.

This makes it easy to:

  • Add insights to reports

  • Share findings with colleagues

  • Support action planning discussions

What Makes a Good Prompt?

The quality of your insight depends on the quality of your question.

A strong prompt usually includes:

A Clear Question

Be specific about what you want to know.

Instead of:

Why are scores low?

Try:

What are the main reasons for low scores in the past month?

A Timeframe

Scotty’s default analysis window is the past 1 month.

If you need a different timeframe, specify it clearly:

  • “Over the past 3 months…”

  • “Since January…”

  • “In Q4…”

Context

Give Scotty direction about what matters:

  • “From an operational perspective…”

  • “With patient experience in mind…”

  • “Focusing on staff morale…”

The more clarity you provide, the more focused the insight will be.

What Scotty AI Does

  • Uses only your selected survey data

  • Analyses the full dataset (not just a sample)

  • Generates summaries and thematic insights

  • Works entirely within ViewPoint’s secure Azure environment

  • Works entirely in the moment without retaining or referring to old chats

What Scotty AI Does Not Do

  • Does not access external sources

  • Does not retain conversations once the session is closed

  • Does not store old chats.

  • Does not access the internet

  • Does not combine data from other customers

  • Does not learn from your data for external model training

  • Does not replace your judgement

Scotty supports decision-making — it does not make decisions for you.

Best Practice When Using AI Insights

AI is a powerful assistant — but it is still an assistant.

We recommend:

  • Carefully reading responses rather than skimming

  • Asking follow-up questions to deepen understanding

  • Cross-checking insights against standard and rating reports

  • Using findings to inform discussions, not replace them

As with all AI systems, occasional inaccuracies can occur. Always sense-check outputs against your reporting dashboards before using insights to guide action planning or strategic decisions.

Additional AI Guardrails

To protect data integrity and responsible use:

  • Avoid entering personally identifiable information into prompts

  • Use professional and relevant queries

  • Do not rely solely on AI for regulatory reporting

  • Ensure decisions are supported by verified data

Scotty is designed to enhance your understanding — not override governance processes.

AI That Supports Integrity

Scotty AI brings together:

  • Secure infrastructure

  • Clear data boundaries

  • Intelligent analysis

  • Human oversight

It helps you explore feedback in a more natural, intuitive way — while keeping your data secure and your decision-making grounded.
